Holdings - Do and Don'ts

Processing mailed-in registration.

Specialist will scan in all registrations and score transfers received each day. All holdings will be held in the file cabinet in their labeled envelopes with their form of payment and a note attached indicating the following:

  • Missing info that is needed

  • Date when placed into holding.

  • If and how the candidate was contacted

Examples may look like this:

In the Excel Sheet under HOLDINGS, all items being held will be listed on the day they were originally received.

The notes sections will indicate what information is missing. Always note what is missing so if they call in, we can see what information is needed without pulling the paperwork.

If it has been over a week, in the last column it will indicate “Shredded on(date)” with the employee's name who completed it.

If a candidate calls in or sends a ticket in to resubmit or correct information, review the excel sheet for missing info, verify information, and immediately process the request. If same day put in holding, take out of holding and move to the completed excel row. If different day just add to completed row for that day.

 

When not to hold:

Registrations:

  • If the candidate has indicated, they have NOT APPLIED for an approval through their state.

  • If the candidate is testing for CA and it is more than 1 week before their 90-day wait is completed.

  • If the form of payment is declined; Candidate will need to resubmit entire application.

Score Transfers:

  • If the candidate only has 1 passing exam on file and the requested state DOES NOT accept that exam level.

  • It is a request for a FAILED score to be sent.

  • There is no candidate information on file.

 

 

When to hold:

Registrations:

  • If the Candidate HAS applied and been approved, but the approval is not in the database yet.

  • If the candidate is missing information from the form.

  • If the form of payment declined or missing expiration date or CCV.

Score Transfers:

  • If information is missing.

  • If we need Name Change Documents.

  • If payment declined or missing expiration date or CCV.
