Exam Fees Assistance

This article details the process when employers, organizations, or schools wish to assist a large number of candidates with exam fees.

ASWB’s preferred method of exam fee assistance is to reimburse the candidate directly.

If more than 20 candidate exams will be paid for, see below process.

 

Scenario 1: Organizations and employers

  • Determine restrictions for candidates who will receive exam fee assistance

    • # of exam attempts

    • Level of exam

    • Expected launch date

  • Scope of Work or Contract between ASWB and Organization

    • Purpose

    • Activities

      • Examination fees: Payment details including:

        • Effective dates

        • Total estimated costs

    • Reporting Requirements

      • Monthly reconciliation completed by ASWB examination department. This report can be shared monthly (Candidate information would not be shared if it is not initially provided)

      • Detail of other reports needed by organization

    • Payment and Financial Reporting

      • Monies would be prepaid with monthly reconciliation completed by exam administration

        • ASWB will send one-time electronic invoice to be paid via ACH or check

      • Alert regarding low funds can be determined once volume and prepaid money is determined

  • Implementation into Legacy/ASWB Central: Pop-up when candidates choose specific state/jurisdiction. Candidates proceed through normal online registration process. Payment will not be required at the end of the registration. IT team has applied vouchers to all benefited candidates.

  • ASWB to review press release communication.

  • Contract to be signed by Director.

Scenario 2: Schools

  • Determine restrictions for candidates who will receive exam fee assistance

  • Scope of Work or Contract between ASWB and School

    • Purpose

    • Activities

      • Examination fees: Payment details including:

        • Effective dates

        • Total estimated costs

      • List of candidates with social security numbers would need to be provided by school

        • Determine how and when the list will be provided

        • Determine how candidates get removed from this list

        • Determine how candidates will be notified of free exam

    • Reporting Requirements

      • Monthly reconciliation completed by ASWB examination department. This report can be shared monthly

      • Detail of other reports needed by organization

    • Payment and Financial Reporting

      • Monies would be prepaid with monthly reconciliation completed by exam administration

        • ASWB will send one-time electronic invoice to be paid via ACH or check

      • Alert regarding low funds can be determined once volume and prepaid money is determined

  • Implementation into Legacy/ASWB Central: Vouchers will be attached to the specific candidates provided by schools. Benefited candidates would complete online registration, but payment would not be required at the end of the registration. The expectation would be that the school would notify the candidates who will be getting a free exam(s). Any issues would need to be resolved directly with the school.

  • Pop up to communicate to communicate to candidate that the exam fee is covered by school.

  • Candidate Services Staff will be able to enter the vouchers for the schools, specific to the candidates who are approved for a free exam by the school.

  • ASWB to review press release communication.

  • Contract to be signed by Director.

Requirements:

  • ASWB’s preferred method of exam fee assistance is to reimburse the candidate directly.

  • Fees for 20 or more candidates can be paid to ASWB.

  • Funds to be prepaid to ASWB by check or ACH prior to exam registration.

    • Candidates will not receive exam fee assistance until the funds are received and cleared through the financial institution.

  • All Candidates must be approved by a state/provincial Board to take the ASWB examination.

    • Schools and/or Organizations assisting specific candidates with exam fees must be shown proof of approval before information is sent to ASWB.

    • Examination fees: Payment details including:

      • Effective dates

      • Total estimated costs

    • List of candidates with social security numbers would need to be provided by school

      • Determine how and when the list will be provided

      • Determine how candidates get removed from this list

      • Determine how candidates will be notified of free exam

  • Reporting Requirements

    • Monthly reconciliation completed by ASWB examination department. This report can be shared monthly

    • Detail of other reports needed by organization

  • Payment and Financial Reporting

    • Monies would be prepaid with monthly reconciliation completed by exam administration

      • ASWB will send one-time electronic invoice to be paid via ACH or check

    • Alert regarding low funds can be determined once volume and prepaid money is determined

  • Implementation of exam fee assistance can take up to 1 months.

  • Teams' meetings to discuss partnership will be initiated by ASWB as needed
