Background

A candidate record is the highest level record representing a unique individual who has a relationship with any ASWB Service or product. This record is created at the first occurrence of four possible events

  1. an approval is received from a jurisdiction,

  2. the candidate applies to the ASWB Registry

  3. an educator purchases an GRPQ from ASWB

  4. the applicant submits a paper application for a MA license (the paper application is now retired and no longer used).

Currently, Massachusetts online applications, and pre-approval applications in ASWBCentral (CO, UT, TX) do not create candidate IDs when the accounts for accessing those applications are created.

There are a number of different items which are associated to the Candidate ID throughout the various systems and the table below reflects the different systems and processes.

Items to be considered

  • As the Registry remains connected to the Legacy database and will be creating / accessing Candidate information, any Candidate ID created in ASWBCentral must be synchronized into the Legacy database immediately.
